1.Who We Are
We Are Digital Vision Ltd ("Digital Vision") operates FieldFlow as a Wix App Market application. Based in Wales, United Kingdom. Contact: info@wearedigitalvision.com.
2.What Data We Process
FieldFlow processes the following categories of data:
- Customer data: names, contact details, addresses, appointment history, and job notes submitted through your Wix site
- Engineer/staff profiles: names, contact details, availability schedules, and assigned job history
- Job data: appointment times, locations, job descriptions, status updates, and completion records
- Location data: GPS coordinates used for job dispatch (processed only with explicit consent from engineers)
- Your Wix account user ID
Digital Vision acts as a data processor on your behalf. You, as the site owner, are the data controller for your customers' and employees' personal data.
3.How We Use Your Data
Data is used solely to: (a) manage appointments and job scheduling; (b) dispatch engineers and track job status; (c) generate reports for your dashboard; (d) improve FieldFlow. We do not use your data for our own marketing or share it with third parties beyond what is necessary to deliver the service.
4.Your Responsibilities as Data Controller
As data controller, you are responsible for: (a) providing customers and engineers with a compliant privacy notice describing how their data is used; (b) obtaining any required consents (including for GPS location tracking of engineers); (c) handling data subject access and deletion requests; (d) ensuring data is not retained longer than necessary.
5.Legal Basis (GDPR)
We process your data on the basis of: contractual necessity (to deliver job scheduling functionality) and legitimate interests (to maintain and improve FieldFlow). GPS location data is processed only on the basis of explicit consent from the individual engineer.
6.Data Storage & Retention
All operational data is stored within the Wix platform's infrastructure. Job records and customer data are retained for as long as the app is installed, or as required by law. You can manage and export data via your Wix dashboard.
7.Third-Party Services
FieldFlow runs on the Wix platform (see Wix Privacy Policy). Digital Vision does not use additional third-party data processors beyond Wix for core data storage.
8.Your Rights
Contact info@wearedigitalvision.com or the ICO to exercise GDPR rights. Note: requests relating to customer or engineer data held in your CMS should be directed to you as data controller.
9.Changes to This Policy
Updates reflected in a revised effective date. Continued use constitutes acceptance.
